Administration Manager

 Overall responsibility for the smooth running of the office. Making sure that all office
systems are managed and maintained, including staff files, stationary Log and stock
Checks, Petty cash, and client files.
 Provide supplies by identifying needs for reception, switchboard, mailroom, and
establishing policies, procedures, and work schedules, by obtaining requirements,
negotiating price, quality, and delivery, approving invoices.
 Outsourcing staff administration including salary, holiday, and sickness tracking…
 Contribute to team effort by accomplishing related result as needed, and also by providing
support to other departments.
 Use computer-based technologies to document and archive all internal and external
correspondence in an ordered systematic for future retrieval.
 Update the office filing systems both on paper and computer.
 Draft administrative documents (report, discussion, various letters in English and French,
As well as legal correspondence (supplies, customers, social, administration…), relationship
with lawyers and monitor their processing delays.

 Develop budget recommendations for CAPEX and OPEX. Personal services equipment and
material, and maintain revenue as high as possible.
 Archive financial objectives by anticipating requirements, submitting information for
budget preparation, scheduling expenditures, monitoring costs, analyzing variances-
assisting with the preparation of the monthly management accounts.
 Solely responsible for all expenses and outgoings of this branch. Extensive documentation
and justification and all invoices are submitted to head office via a customised computer
program. Therefore all financial accounts associated with this branch are my responsibility.
 Solely responsible for all outgoings in this branch office including payment of all invoices,
lease contracts, payroll, office supplies; documentation and reporting via our internal
finance software (ERP) is an integral part of my job.
 Reconciliation statement for all expenditure at the end of each month is produced for
head office for approval.
